Who we are

TrendLabs Talent is a recruitment and staffing company based in New York, NY, United States. We are the controller of the personal information described in this policy. You can reach us at hello@trendlabstalent.com about anything on this page.

Information we collect

If you are an employer and use our enquiry form, we collect your name, company name, work email address, phone number, company website, industry, the role you need filled, the number of positions, preferred working hours, estimated start date, and whatever you tell us about responsibilities, required experience and any additional context.

If you are a candidate and apply to join our talent network, we collect your name, email address, phone number, city, the type of role you are seeking, your years of experience, your English level, your availability, any profile or portfolio link you provide, your résumé file, and the description of your experience you write in the form.

From everyone who visits, our hosting provider records standard technical information including your IP address, browser type and the pages you request. If you accept analytics cookies, we also collect aggregate usage information about how the site is used.

We do not ask for and do not want sensitive information such as government identification numbers, financial account details, health information or data about your background beyond your professional experience. Please do not include it in a form.

How we use it

We use employer information to respond to your enquiry, understand your staffing requirements, and provide our services. We use candidate information to assess suitability for current and upcoming roles and, where you are shortlisted and have agreed, to share your profile with the relevant client employer. We use technical and analytics information to keep the site working and to understand which pages are useful. We do not sell personal information, and we do not use it to train machine learning models.

Legal basis for processing

Where a legal basis is required, including under Albanian Law No. 124/2024 on Personal Data Protection and the EU GDPR, we rely on the following:

• Employer enquiriesOur legitimate interest in responding to a business enquiry, and taking steps at your request before entering into a contract.
• Candidate applicationsYour consent, given when you submit your details, together with our legitimate interest in operating a recruitment service. You can withdraw consent at any time.
• Sharing your profile with a client employerYour consent, which we ask for in relation to each specific opportunity rather than as a blanket permission.
• Analytics cookiesYour consent, given through the notice shown on your first visit.
• Accounting, tax and contract recordsCompliance with our legal obligations, and our legitimate interest in establishing or defending legal claims.

How long we keep it

Candidates

24 months from your last contact with us. If you are placed with a client, for the duration of that engagement and 6 years afterwards.

Employer enquiries

24 months from the last contact, where the enquiry does not lead to an engagement.

Client records

The duration of the engagement and 6 years afterwards, to meet accounting, tax and contractual obligations.

Website analytics

14 months.

Cookie preference

12 months, stored in your own browser.

At the end of these periods we delete or anonymise the records. If you would like your details removed sooner, write to hello@trendlabstalent.com and we will confirm once it is done.

Who we share it with

Client employers. We share candidate information with a prospective client employer only in connection with a live opportunity, and only with your agreement. We do not circulate résumés speculatively.

Service providers. These companies process information on our instructions in order to run the site and our operations:

• NetlifyWebsite hosting and form submissions. Receives everything you send through a form, plus standard server logs including your IP address. United States.
• Google FontsServes the typefaces used on this site. Your browser requests them directly from Google, which receives your IP address in the process. United States and other locations.
• CalendlyScheduling, if you choose to book a call. Receives the name, email address and any details you enter when booking. United States.
• Email providerUsed to correspond with you about your enquiry or application.

We will update this list when it changes. We may also disclose information where we are legally required to, or to establish or defend legal claims.

International transfers

We are based in the United States and our service providers are largely based there. If you are in Albania, the European Union or elsewhere outside the United States, the information you send us is transferred to and stored in the United States.

Where you apply as a candidate, that transfer is made on the basis of your explicit consent, given when you submit your application. Where a transfer is made under a contract, we rely on the transfer being necessary to perform that contract or to take steps at your request before entering into one.

We use providers that offer standard contractual clauses in their data processing terms, and we enter into those terms where they are available. Data protection law in the United States differs from Albanian and EU law, and you may not have the same remedies available to you here. You can withdraw your consent to the transfer at any time by writing to hello@trendlabstalent.com, and we will delete your records.

Cookies and tracking

We use a small number of cookies and similar technologies. Essential storage keeps the site working and remembers your cookie choice, which is held in your own browser for 12 months. Optional analytics cookies help us understand which pages are used, and only load if you accept them through the notice shown on your first visit.

We do not use advertising cookies, retargeting pixels or session replay tools on this site.

Security

The site is served over HTTPS and form submissions are encrypted in transit. Access to submissions is limited to the people at TrendLabs Talent who need it to do their work. No system is perfectly secure, and we cannot guarantee absolute security, but we will tell you promptly if a breach affects your information and the law requires us to notify you.

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a copy in a portable format, object to or restrict certain processing, and withdraw consent you have previously given. Exercising these rights will never disadvantage you as a candidate.

To exercise any of them, write to hello@trendlabstalent.com. We will respond within 30 days. If you are in Albania and are not satisfied with our response, you can complain to the Commissioner for the Right to Information and Protection of Personal Data. If you are in the European Union, you can complain to your national supervisory authority.

Do Not Track

Some browsers send a Do Not Track signal. There is no common standard for how sites should respond to it. We do not track visitors across other websites, so our behaviour is the same whether or not the signal is sent.

Children

This site is intended for business use and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, write to us and we will delete it.

Changes to this policy

If we make a material change, we will update the date below and, where the change significantly affects how we use information you have already given us, we will contact you at the email address we hold.
